Important – Read First
Purging a database permanently removes historical data from the system.
Before proceeding, you must create a full database backup. This step is critical and cannot be skipped.
If data is removed accidentally, the backup will be the only method of recovery.
Step 1 – Back Up the Database (Required)
Before purging any data:
- Log into the AMGTime software using an Administrator account.
- Navigate to Tools or Utilities (depending on your software version).
- Select Database Backup.
- Save the backup file to a secure location such as:Verify that the backup completed successfully and that the file was created.
- External drive
- Network folder
- Cloud storage
- Verify that the backup completed successfully and that the file was created.
Important: If anything goes wrong during or after the purge process, this backup will be required to restore the database.
Step 2 – Log in as an Administrator
Ensure you are logged into AMGTime with full administrative permissions.
Regular user accounts will not have access to database purge functionality.
Step 3 – Purge the Database
- Go to Tools / Utilities.
- Select Purge Database.
- Choose the date range for the purge.Review the purge summary carefully.Review the purge summary carefully.
- Example: Remove all records before a specific date.
- Review the purge summary carefully.
- Confirm the purge when prompted.
Warning: Once the purge is confirmed, the data cannot be recovered unless restored from a backup.
Step 4 – Restart Services (If Required)
After the purge completes, restart the following if necessary:
- AMGTime Services
- AMGTime Application
- Server (if recommended)
Restarting ensures the database refreshes correctly and all services reconnect properly.
Step 5 – Verify the Results
After the purge:
- Open AMGTime.
- Review:
- Timecards
- Reports
- Employee records
- Confirm that:
- Old data was removed correctly
- Current data remains intact
- System performance has improved (if applicable)
Best Practices
- Perform purges outside of payroll processing periods.
- Retain at least one full payroll year of data unless instructed otherwise.
- Store database backups securely for compliance and audit purposes.
- Verify backups regularly to ensure they can be restored successfully.
- Review purge ranges carefully before confirming deletion.
