Rounding Rules allow you to round the calculated worked hours, and lunch/break durations. Each shift group can have its own rounding rules. An employee must have a shift scheduled for them for rounding rules to apply. For more information on scheduling, see this article.

 

The different rounding rules can all be found under Definitions - Shifts.

 

In/Out Rounding

To add or edit an In/Out rounding rule, select In/Out Rounding under Definitions - Shifts. To use In/Out Rounding you must used fixed shifts for employees. More on the difference between shift types here.

 Add or edit a rule by clicking the buttons at the bottom. You will then see the page for the rule. Start by giving it a code and a name.

Start

The Round time is the amount of time before the start of a shift where if an employee clocks in, it will go forward to the scheduled start time. 

The Grace period is the time after the scheduled start time that an employee can clock in and have their time round back to the start.

The Dock time is the time it will round to after the grace period to dock the employee's hours.

 

Stop

The Dock time is the time it will round to after the grace period to dock the employee's hours.

The Grace period is the time before the scheduled stop time that someone can clock out and have their time round forward to the stop.

The Round time is the amount of time after the end of a shift where if an employee clocks out, it will go back to the scheduled stop time. 

 

After configuring the In/Out rounding rule, click OK to save changes, then close the window.



Outside rounding

To add or edit an Outside rounding rule, select Outside Rounding under Definitions - Shifts. Outside Rounding rounds all the clock in/clock outs that don't fit into the in/out rounding rules. Start by adding a code and name to the rule.

 

Outside rounding lets you round to a certain interval with a certain split. For example, the most common is 15 minute interval with a 7 minute split. This means if someone clocks in at 8:07am it rounds to 8am, if they clock in at 8:08am it rounds to 8:15am. This would calculate hours in 15 minute increments (.25, .5 .75 or .0).

The ignore intermediate ouside punches duration will ignore the rounding if there are multiple punches within that time period.

 

After configuring the Outside rounding rule, click OK to save changes, then close the window.

 

Lunch/Break Roundings

To add or edit a Lunch or Break rounding rule, select Lunch Rounding or Break Rounding under Definitions - Shifts.

Lunch and break roundings have the same screen but obviously affect lunches or breaks only.

 

Start by adding a code and name to the rounding rule.

Round short duration forward, will round any break or lunch that is less than the full duration (e.g. lunches are 30 minutes and an employee only takes 20 minutes, it will round the lunch to 30 minutes)

 

Grace will give a grace period after the duration of the lunch to round back to the full duration (e.g lunches are 30 minutes and an employee takes 35 minutes, if your grace period is 5 minutes it will round this time to 30 minutes)

 

The bottom section functions much like outside rounding, where it will always round to an interval based on a certain split. So if you use 15 min intervals with a 7 minute split, if an employee clocks out for lunch after 37 minutes, the lunch will round to 30 minutes, if they clock out after 38 minutes, the lunch will round to 45 minutes.

 

After configuring the lunch or break rounding rule, click OK to save changes, then close the window.
